The "Proof Engineering with Lean" summer school respects your privacy and is committed to protecting your personal data in accordance with the General Data Protection Regulation (GDPR) (EU) 2016/679. Through our registration form, we collect only the data strictly necessary to organize the event:
- Full name
- Email address
- Institutional affiliation
- Short motivation statement
- Preference regarding attendance at the social city tour (Yes/No)
- Technical security data (IP address, browser information) processed strictly for spam prevention via Google reCAPTCHA.
4. Why Are We Collecting This Data and What Is the Legal Basis?
We process your data for the following purposes:
- Event Management: To process your registration, evaluate your application (via the motivation statement), and manage attendee lists.
- Communication: To send you updates, schedules, and materials related to the summer school.
- Logistics: To organize the optional city tour based on headcount.
- Security (Spam Prevention): To protect our registration form from automated bots using Google reCAPTCHA. Legal Basis: Legitimate Interest (Article 6(1)(f) GDPR).
Legal Basis: The processing of your data is based on your explicit consent (Article 6(1)(a) GDPR) provided upon submitting the registration form: "the data subject has given consent to the processing of his or her personal data for one or more specific purposes".
5. How We Store and Protect Your Data
Your data is collected via the registration form on this website and stored securely on a server administered by the Faculty of Mathematics and Computer Science, Babeș-Bolyai University. Access to this data is strictly limited to the data controller, who requires it for event logistics. We will not share, sell, or distribute your data to any third parties without your explicit permission. The only exception is the use of Google reCAPTCHA on our registration form to prevent spam. This service processes your IP address and browser data, sharing it with Google in accordance with their Privacy Policy.
6. How Long Will We Keep Your Data? (Data Retention)
In accordance with the principle of data minimization, your personal data will not be kept longer than necessary. All form responses, spreadsheets, and associated email communications containing personal data will be permanently deleted 30 days after the conclusion of the summer school and the dispatch of any final follow-up materials (such as certificates of attendance).

8. Complaints
To exercise any of your data protection rights, or if you believe your personal data is being mishandled, you must first address your request or complaint to Babeș-Bolyai University (UBB). You can do this by contacting the data controller at iulian.simion[at]ubbcluj.ro or the official UBB Data Protection Officer at dpo@ubbcluj.ro.
Please note the required legal timeline: UBB will provide a response within a maximum of one month from receiving your request (this period may be extended by an additional two months under exceptional circumstances). Only after this period, if you remain unsatisfied with the resolution or receive no response, do you have the right to formally escalate the matter by lodging a complaint with the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP) via email at anspdcp@dataprotection.ro.
